The MESC 2024 Poster Session

The 2024 Medicaid Enterprise Systems Conference (MESC) Poster Session will be held on Tuesday afternoon August 13, 2024 between 5:00 – 7:00 PM.

The Poster Session is an opportunity for states to display projects or research underway within their home state. The poster session provides state attendees a way to graphically present a project that might not lend itself to a session or panel discussion.  The format of the Poster Session is for states to design a graphic display of their project on a 4’ x 8’ poster board. Presenters participate in engaging their colleagues from across the country in an active discussion about their project.

Our goal is for all states in attendance to showcase their great work.  As an incentive to participate, the Conference will provide reimbursement for one person from each participating state to include: early bird conference registration fee, hotel accommodation and travel expenses (see additional details below).

The Conference will also recognize two “Posters of Excellence” in the categories of Outstanding Concept and Outstanding Visual Presentation (rules in FAQs below). The event will feature sponsored food and drink stations offering attendees an opportunity to network while viewing the illustrated work of States and their partners.

Poster Session FAQs

How is a Poster Entered into the Poster Session?

Similar to submitting abstracts in response to the Call for Papers/Abstracts, the Planning Committee asks you to submit an abstract (300 words or less) or description of the poster or posters. We do not have any predefined subject list but we invite you to reference the subject areas of the conference agenda for relevant ideas.  We would like posters to complement the main themes of the agenda.

Our target due date for Poster submissions was May 31, 2024. The final date to submit a poster abstract is July 11, 2024. Please keep in mind if you are planning to apply for the poster session scholarship program your application must be completed AND approved by July 11, 2024.

Please be mindful of the due dates as they are not negotiable.

Who May Submit a Poster?

We invite State attendees to submit posters individually or as teams. State team poster submissions may include partners from the industry community, universities, or other nonprofit organizations. Our industry partners may not submit posters for presentation individually, however, our industry partners can submit a poster abstract provided they are part of a State team.

Are There Poster Session Sponsorships Available?

There are a total of nine food and beverage stations available for sponsorship. Additionally, there is the opportunity to sponsor one of the three specialty beverage stations. Please visit the sponsorship page for more information.

What Dimensions are Acceptable for the Posters?

The posters will be attached to portable walls supplied by the conference that are 4 feet high by 8 feet long. You may actually attach a grouping of smaller posters or one large poster that will fit on the portable wall. The conference will supply push pins to secure the poster to the wall. Any other specialty materials need to affix the poster to the wall must be provided by the presenter(s).

Should the Posters be Black and White or Color?

Posters may be either black and white or color – your choice. Get creative!

Who Produces the Poster? How Does the Poster get to the Conference?

All posters must be produced by the presenter(s). The presenter(s) is responsible for bringing or delivering the poster to the conference.

What are the Incentives for Participating in the Poster Session?

One (1) State attendee per state will be reimbursed after the conference for their participation in the Poster Session. NESCSO will provide forms and instructions for reimbursement. Please note that the Poster Session incentives (i.e., registration, travel, and lodging reimbursement) will only be available to State staff.

Is There a Limit to the Number of Poster Abstracts that a State can Submit?

We would like to have participation by all States attending the conference. Space will be limited so the conference reserves the right to limit the number of posters based on the response. At this point in time, we encourage State attendees to enter as many poster abstracts as they wish.

The conference will only reimburse one (1) State attendee per state for their conference related expenses regardless of how many posters or presenters are accepted.

Who Will Set-Up and Take Down my Poster? May I Bring Other Collateral Materials?

We are planning to have the posters available for viewing throughout the conference. State staff should plan to set up their poster no later than 12:00 P.M. on Tuesday August 13, and remove their poster by 10:00 A.M. on Thursday August 15. Any posters remaining at 12:00 PM on Thursday will be disposed of by convention center staff.

A small table for collateral material will be available at each poster board. Space is very limited.

When Will I Find Out if my Poster Has Been Accepted?

Acceptance of poster submissions will occur on a rolling basis through May 31, 2024. The individual submitting the poster will be sent by email with the notification and additional instructions.
