Exhibit Hall Information

Hall Requirements

  1. All Booths are 10’ x 10’. Maximum of six (6) booths per sponsor
  2. No “end cap” booths allowed. End cap booths are booth pairs that face the vertical aisles. For example, The booth pairs of booths 141 & 240, booths 117 & 216, or booths 319 & 418 would create an end cap and cannot be selected unless they are selected as part of a quad.
    Important Note: All end cap booth orders will be canceled and you will need to reselect booths from remaining inventory. Do not select end caps!
  3. All aisles and seating areas in the Exhibit Hall are carpeted. Booth space is required to be carpeted. Customized carpet colors for your booth space are available through the drayage company.
  4. Each 10’ x 10” booth includes:
  • A 10’ x 10’ booth
  • A skirted table, two chairs, and a wastebasket
  • One (1) complimentary registration per booth
  • Attendee list sent weekly beginning in June 2024
  • Electricity (5 amps per reserved booth)
  • Trash removal and nightly cleaning
  • An 1/8-page ad (2.5”H x 3.5”W approximate size)
  • Your logo in the conference program
  • Summary description of your organization in the conference program
  • A CVENT Lead Retrieval device, used to capture attendee contact information (one device per company: additional devices available through CVENT)

 

Drayage Services

  1. The MESC 2024 drayage provider is Viper Tradeshow Services, proud partner of the MESC since 2017.
  2. The primary point of contact at each sponsoring organization will receive an Exhibitor Kit with online ordering instructions.

Set-up/Teardown

  1. Exhibit Hall move-in starts at 7:00 AM on Monday and must complete by 4:30 PM. Special requests for early move-in need to be coordinated through Viper Exposition Services (see your Exhibitor Kit).
  2. Set-up and teardown staff do not have to be registered and will have access to the Exhibit Hall on Monday 7:00 AM – 4:30 PM and Thursday after 11:00 AM. People who are not registered are not allowed in the Exhibit Hall at any other times.
  3. Exhibit Hall move-out starts on Thursday after 11:00 AM and must complete by 5:00 PM on Thursday.
    ** Do not start move-out early! **

Staffing

  1. The MESC does not offer an “Exhibit Hall Only” pass. Each 10×10 booth space is provided one (1) complimentary registration. All other attendees are required to be registered/paid attendees.
  2. The Exhibit Hall is open at all times during the conference to allow sponsors to meet with attendees during the slow times as well as the busier times of the day. We recognize that the Exhibit Hall is open for long hours each day and encourage sponsors to flex their staffing levels accordingly. 

Meals/Food/Beverage Services

  1. Meals will be served in Hall C/E (adjacent to the Exhibit Hall) – Breakfast on Monday, Tuesday, Wednesday, and Thursday morning; Lunch Monday, Tuesday and Wednesday.
  2. Entrance to the meals on Tuesday, Wednesday, and Thursday will be through the Exhibit Hall. 
  3. Food & Beverage Stations will be located throughout the Exhibit Hall. Locations shown on the Exhibit Hall diagram are approximate and subject to change.
  4. The MESC 2024 Opening Reception will be held in the Exhibit Hall, beginning at 5:30 PM on Monday.
  5. The MESC 2024 Poster Session will be held in the Exhibit Hall, beginning at 5:00 PM on Tuesday.
  6. All food and beverage provided to attendees at your booth need to be approved and/or supplied by the Kentucky International Convention Center.
